STATUTE OF THE
PARENT-TEACHER ASSOCIATION OF
AMBRIT ROME INTERNATIONAL SCHOOL
Article 1- Name The name of this non-profit, volunteer, Association shall
be:
THE PARENT-TEACHER ASSOCIATION 'FRIENDS OF AMBRIT'.
Article 2 - Objectives The objectives of the association shall be to support and
further the education of our children through organised parent
involvement in the School. The activities of Friends of Ambrit should
focus on the following:
a. Promoting communication and cooperation among parents, teachers,
administration
and students.
b. Increasing parent awareness and understanding of the overall
educational
programme of the School.
c. Providing opportunities for the parents to support the School
through personal
involvement.
Article 3 - Membership Each parent or guardian of any student enrolled in the school
and all members of the faculty shall be members of this Association.
Parents or guardians of former students may be members of the
Association upon request and approval of the Association.
Article 4 - Voting
Each member of this Association shall be entitled to one vote.
Recognising the objectives and principles for which Ambrit
was established, it shall be the policy of this Association
to endeavour, wherever possible, to achieve understanding and "A
sense of the Meeting" without a vote by respecting and considering
all points of view expressed at any meeting of this Association.
Article 5 - Officers The membership shall elect a President, a Vice President, a
Treasurer, and a Secretary; a Parent/Teacher liaison shall be chosen
by the school as official representative of the members of the
faculty (Faculty Representative). The terms of office of the Officers
shall be of one year, commencing annually on July 1. Officers may be
reelected for a maximum of four terms. Elections of Officers shall be
held at the Spring meeting each year. Upon election, a transitional
period shall take place. Any office may be held jointly by two
members of the Association. Approval of the Officers shall require a simple
majority of the votes cast.
Article 6 - Executive Committee The Executive Committee shall include three members selected
from the Class Representatives (Class Liaisons), the elected
Officers, the Director and the Faculty Representative. The Executive
Committee is responsible to the Membership for the general conduct of
Friends of Ambrit.
The Executive Committee shall meet regularly, but no less than once
monthly during the school year. All Executive Committee meetings are
open to attendance by the Membership. "Special Representatives" or
Chairpersons of standing Committees will normally attend meetings
while the committee is in existence but do not hold power of
vote.
Article 7 - Meetings There shall be two general meetings of this Association held in
October and April of each year and such other regular and special
meetings as are provided for in the by-laws. Written notice of each
annual, regular or special meting shall be sent to the membership of
the Association prior to the meeting. The notice shall include a
statement of the time and place of meeting and the topic or topics to
be considered. Members may propose topics of discussion by
requesting, in advance, for the topics to be included in the meeting
agenda.
Article 8 - Amendment
Section 1. Amendment Process
This Statute may be amended at any meeting of the Association
provided that: (a) the proposed amendment has first been presented to
the membership at least four weeks prior to the meeting at which the
vote is to be taken; (b) at least two weeks' notice of the meeting at
which the vote is to be taken, specifying the language of the
proposed amendment, shall have been given; and (c) a quorum of not
less than 25 is constituted, comprised of members present and
eligible to vote and voting, and members voting by absentee ballot.
Approval of the amendment shall require two-thirds of the votes
cast.
Section 2. Absentee Balloting
If a member cannot be present at a meeting to vote on a
statutory amendment, an absentee ballot may be obtained by writing to
the Secretary.
BY-LAWS OF THE PARENT-TEACHER ASSOCIATION OF AMBRIT ROME
Article 1 - Duties of the President
Section 1 - Duties of the President
The President shall preside at all meetings of the Association. The
President shall prepare and announce an agenda for each meeting prior
to the meeting, shall appoint the chairpersons and members of
committees and shall be an ex-officio member of all committees. The
President and Treasurer will co-sign cheques and shall have the power
to make disbursements from the Association's funds for necessary
business purposes, pursuant to these by-laws. In the absence or
inability of the President to serve for any reason, another Officer
of the Association, appointed by the Executive committee, shall
preside at all meetings and fulfil the duties and responsibilities of
the President.
Section 2 - Duties of the Vice-President
The Vice-President shall assist the President in his/her duties
and act as a liaison among the parents, Class Liaisons and the
administration of the school. The Vice-President shall be responsible
for the organization and supervision of Class Liaisons.
Section 3 - Duties of the Treasurer
The Treasurer shall keep the accounts of the Association; have
charge of all moneys belonging to the Association and disburse funds
when properly authorised pursuant to these by-laws. The Treasurer
shall present a financial report at each regularly scheduled meeting
of the Executive Committee and a written financial report at the
annual meeting of the Association. The Treasurer will hold the
signature with the President on the Association's Bank funds.
Section 4 - Duties of the Secretary
The Secretary shall keep a permanent record of the proceedings of the
Association and of the Executive Committee. The Secretary shall
assist the President in any additional duties.
Article 2 - The Executive Committee
Section 1 - Purpose
The Executive Committee shall act as a liaison between the
Association and the School and as a coordinating body for the
Association's activities.
Section 2 - Membership
The Executive Committee shall consist of the elected Officers of the
Association, three Class Liaisons, the School's Director, the Faculty
Representative and former Presidents of the Association who are still
members of the Association. The Faculty Representative shall be
elected by the faculty. The Faculty Representative shall endeavour to
encourage the interest of teachers and their participation in the
affairs of the Association. In the event that the Faculty
Representative is unable to attend a meeting of the Executive
Committee, an alternate to act in the place and instead
of the Faculty Representative shall be selected by the faculty. The
three Class Representatives of "Class Liaisons" representing the
Early Childhood, Primary and Middle School shall be identified by the
Vice President and appointed by the President.
Section 3 - Duties of the Executive Committee
The Executive Committee shall have the right to specify items to
be included in the agenda for regular, special, or general meeting of
the Association. The executive committee shall receive, review and
approve all requests over Lit.200.000 from Association funds for
operating purposes. These requests must be in writing. The President
may authorise operating expenditures of less than Lit.200.000 without
Executive Committee consultation provided that the expenditures are
reported at the next meeting of the Executive Committee. The
Executive Committee shall approve standing policies for disbursement
of funds for ongoing operating activities such as the School Store,
Fair or Auction.
Section 4 - Funds
The disbursement of annual surplus funds that exceed operating
expenses shall be made to the School. The Executive Committee shall
accept written expenditure recommendations by members of the
Association for consideration by the School.
Article 3 - Class Liaisons
Section 1 - Composition
Each Class Liaison shall be a parent or guardian of a student
enrolled in the represented class and may serve individually or as a
father/mother unit.
Section 2 - Selection Term of Office
Prospective Class Liaisons shall first be identified by the
individual class parents and teachers and reported to the
Vice-President of the Association. The Director and appropriate
School Heads shall next be advised of the prospective selections.
Class Liaisons shall then be appointed by the President from the list
of prospective candidates no later than June 1 of the previous school
year. The Class Liaison has the ability to choose an associate Class
Liaison by October 31 of the current school year. Each Class Liaison
shall serve for one academic year. No Class Liaison may serve for
more than four consecutive academic years.
Section 3 - Duties and Responsibilities
The Class Liaison shall be a focal point for communications
among the teachers and the parents of the class concerned and shall
perform such other duties as may be requested.
Article 4 - Committees
Regular and special committees and their Chairpersons "Special
Representatives" are appointed by the President. The Association
members are encouraged to volunteer and suggestions for candidates
are welcome.
Article 5 - Nominating Committee
Section 1 - Term of Service
The Nominating Committee may be selected following the election
of Officers and shall serve until the next such election.
Section 2 - Composition and Appointment
The Nominating Committee shall consist of five members. Two
members shall be appointed by the Executive Committee and three to
represent the Early Childhood, Primary and Middle School.
Section 3 - Duties
The Nominating Committee shall identify and propose members of
the Association for service as Officers. The committee shall solicit
names of potential candidates from the membership at Executive
Committee meetings and regular meetings of the Association. The
Committee shall also solicit names of potential candidates from the
Class Liaisons and the School Administration.
Article 6 - Selection of Officers
Officers of the Association shall be elected at the Annual
Meeting in the Spring. The candidates will consist of nominees
provided by the Nominating Committee and nominations by the
membership at large. Nominations from the membership at large will be
accepted through February of each year by the Secretary. In the event
of vacancy between annual meetings, the remaining Officers shall
appoint a replacement member to serve until the next regular
election.
Article 7 - Meetings
Regular monthly meetings for business of the Association will be
held and will be open to all members of the Association. The meetings
held in the Spring and Fall of each year shall be the General
Meetings. Special meetings of the Association may be held at any time
upon written request of any officer or any member of the Association.
Such a request must be sent to the President and specify the purpose
of the meeting. Written notice of such meetings shall be sent to the
membership as provided in Article 7 of the Statute. An Executive
Committee session may be called by the President under such special
circumstances.
Article 8 - Amendments
These by-laws may be amended at any meeting of the Association
provided at least two weeks' notice of the proposed amendment shall
have been given, and further provided that a quorum of not less than
25 constituents comprised of members present and eligible to vote and
voting and members voting by absentee ballot are present. The
affirmative majority vote of those eligible to vote shall be required
to approve the proposed amendment.
